Job Description

Scope of Work
Specifically, responsibilities will include:

  • Responsible for the logistic coordination and organization of assigned events & programs in regards to venue booking, travel coordination, and events' material organization.
  • Search for event venues (hotels or conference centers) and negotiate prices for each assigned event.
  • Follow-up with venue representatives about details and needs of each event provides all on-site requirements and coordinates all pre-event requests
  • Contact event agencies, negotiate costs and verify contracts, screen, and coordinate temporary on-site event assistants
  • In charge of the travel planning and accommodation booking for all traveling personnel of guests and staff
  • Assist with all necessary visa requirements for traveling guests
  • Prepare, prints and organize all event-related documents
  • Coordinate and follow-up event materials between all participants and stakeholders for all events
  • Calculate event budgets related to all points above
  • Maintain an up to date knowledge of all internal department processes.
  • Supports the Team Lead with information/tasks related to the assigned events & programs.
  • Coordinate with speakers, trainers and guests for their travel, accommodation, and transportation,
  • Be the point of contact with guests and speakers to prepare all their requirements for the workshop or training.
  • Ensure stock of material, purchase and restock of any material or stationary needed for the events and training programs
  • Oversee post-event breakdown, ensuring the site is left clean and tidy, all material is returned and organized in its dedicated storage.
  • Assist in coordination and communication with the event & program participants regarding agenda, material access, and any information in regard to the assigned event.

  • Excellent Arabic verbal and written communication skills and ability to ensure the accuracy, quality and impact of Arabic written materials, visuals and video content.
  • Excellent English verbal and written communication skills.

  • Bachelor’s degree in Communications, Engineering or Business related field is required.
  • Degree or certification in teaching methodologies preferred.
  • Past experience or background in online learning or content development and distribution is preferred.
  • Past experience in managing online communities and community management technologies preferred.
  • Strong competency and maturity to interface between external partner management, entrepreneurs and university administrators at all levels.
  • International and cross-cultural work experience.
  • Willingness and readiness to travel as needed for the fulfillment of responsibilities.


  • At least Two (2) years’ experience is required. Exposure to professional environments.
